The Oberlin College Library invites applications for the position of Archival Assistant. This is a 35 hours per week (.93 FTE) Library Technician position reporting to the College Archivist.


Responsibilities: The incumbent will provide assistance and routine instruction for patrons of the Oberlin College Archives as well as the Library Special Collections Department, oversee student workers, and assist in maintaining and processing Archives materials. Specific duties include but are not limited to the following:


Essential Job Functions:

• Establish working knowledge of the archival holdings and the library’s special collections.

• Work in close collaboration with all College Archives and Special Collections staff to assist researchers in the use of Archives and Special Collections materials.

• Assist researchers in the proper use of Archives and Special Collections materials, provide research entrance assistance, and oversee the security and handling of such materials while they are being used in the Reading Room.

• Respond to routine Archives research queries received by email, telephone, and mail.

• Assist with instructional sessions in support of the curriculum, outreach programs, and tours for visitors to the College Archives and Special Collections Department.

• Draft routine correspondence and letters of transmittal to administrative and departmental offices in response to inquiries about records management and other transactions.

• Assist with requests for microfilm, photographs, and digital scans, and prepare the accompanying invoices for these services.

• Maintain the Archives’ departmental files and the records relating to daily reference activities and reprographic services for their use in quarterly and annual reports.

• Inventory new acquisitions and incorporate additions to existing records and manuscript collections, including updates to existing finding aids on the College Archives web site. Perform basic preservation work in consultation with the Archivist or Assistant Archivist.

• Supervise a student assistant in projects and services relating to the responsibilities associated with this support position.

• Assist with stack maintenance in Archives, including the re-filing of materials, creation of permanent labels for documents cases and records cartons, and making additions and updates to the shelf list.

• Maintain student and support staff time sheets, and prepare paperwork for deposits into Archives accounts.

• Assist the College Archivist with monitoring the Archives’ operating budget and other accounts.

• Assist with writing brochures, news releases and publications as time permits.

• Coordinate office procedures with the Main Library Administrative Office; assist with ordering supplies.

Evaluates employee performance and provides guidance and feedback to assigned staff. Counsels, disciplines and/or terminates employees as required.

* Financial responsibilities include development and monitoring of department budget and sub-budgets for compensation, instruction and current expense. Provides projections, forecasts, and analyzes financial impacts with continued analysis of actual versus budget performance to determine variances. Provides regular and special financial reports as required for department's operations. Develops, enhances, and maintains information systems and internal financial policies and procedures to support financial operations ensuring that internal systems complement University-wide systems and that information is reconciled on a regular basis.

* Manages facilities and space for the department's space in four buildings consisting of faculty, staff and student offices, conference rooms, and labs, both instructional and research. Responsible for building maintenance, safety and emergency procedures, including purchasing of new equipment, as well as maintenance and repair of existing facilities and equipment. Develops and implements security related procedures and coordinates security activities with other University departments. Ensures dissemination of security related information to department personnel.

* Oversight of department's contracts and grants research program. Advises faculty and staff on external agency requirements and guidelines, interacts with School and University contracts and grants departments to resolve problems and clarify policies, and develops internal procedures for monitoring and tracking of research awards for compliance. Coordinates annual survey of research space and equipment, and on-site visits. In addition, administers contracts and grants functions including proposal and budget preparation, manages research, gift and discretionary accounts, reconciles account balances, generates projections and forecasts, and processes budget adjustments.
